Gift Certificate and Gift Card Transactions Report

The Gift Certificate/Card Transactions report displays gift certificate and gift card transactions performed within a particular date range.

Gift Certificate/Card Report Criteria

The following table describes this report’s criteria:

Criteria Description
Gift Certificate Types Enables you to filter by the selected gift certificate types.
To select more than one gift certificate type, hold CTRL or SHIFT while making your selections.
Transaction Date Format Specifies the date to use for the report:
  • Date Range
  • Previous 7 Days – This does not include today
  • Today
  • Yesterday

    This is the date that the gift certificate was sold, modified, deleted and/or redeemed.
Transaction Date From If you are entering a date range, this is the date from which data will be included in the report. This date is inclusive where the starting time will be 0:00:00 on the selected date.
Any value entered into this field will only apply if Date Range is used.
Enter a date or relative date into the field or click  or  to select the date or relative date.

Transaction Date To If you are entering a date range, this is the date to which data will be included in the report. This date is inclusive where the end time will be up to 23:59:59 on the selected date.
Any value entered into this field will only apply if Date Range is used.

Show Detail? Enables you to view transactions by user role or group, additional details about the order are also included such as the contact name, and order number. Otherwise, totals are provided by user role.
Group Report By Enables you to group results by user role or user group.

Advanced Section

The following criteria is available in the advanced section:

Criteria Description
Min. Transaction Amount Enables you to filter results in order from the lowest to the highest gift certificate or gift card transaction.
Max. Transaction Amount Enables you to filter results in order from the highest to the lowest gift certificate or gift card transaction.
User Role Enables you to filter by the selected user roles.
This is the user who sold or modified the gift certificate/card and/or redeemed gift certificate/card.
To select more than one user role, hold CTRL or SHIFT while making your selections.
User Role Group Enables you to filter by the selected user role groups.
This is the user who last updated the order.
To select more than one user role group, hold CTRL or SHIFT while making your selections.

Gift Certificate/Card Transactions Report Output

The following image illustrates a sample report.

This report displays three sections:

  • Summary: Contains information regarding all gift certificates and gift cards sold and redeemed within the selected date range.
  • Gift Card: Contains information regarding gift cards sold and redeemed within the selected date range.
  • Gift Certificate: Contains information regarding gift certificates sold and redeemed within the selected date range.

The following table describes the report output:

Criteria Description
Original Order # The order on which the gift certificate or card was purchased. To view the details of an order, click the order number.
Redemption Order # The order on which the gift certificate or card was redeemed.
When a gift certificate is redeemed and there remains a balance on the gift certificate, a new gift certificate is generated with the remaining balance. When a gift card is redeemed, the balance declines.
Customer Name The contact associated with the original order, if any.
Expiry Date The date and time the gift certificate or gift card becomes invalid.
Transaction Date The date and time the gift certificate or gift card was purchased or redeemed.
Card # The gift card number used for this transaction.
Transaction Certificate # The gift certificate or card number used for this transaction.
Original Certificate # The number assigned to identify the sold gift certificate on the original order.
Purchased The total amount added to the gift card or gift certificate.
Redeemed The total amount of the selected gift card or gift certificate the customer has spent.
Balance The total amount remaining on the gift card or gift certificate.
