Utilities - Orders|Order Update Page

You can update multiple orders in batch using the Orders|Order Update page.

Order Update Section

To use the order update section of the Orders|Order Update page to search for orders that you want to update in batch, you must select a query under the order update section of the Order|Order Query page first.

Additional queries can be created using the Business Intelligence and Reports application Business Intelligence pages. For more information, refer to Creating a BI Query.

Information
Order ID is required as a result member in any BI that is used to invoice or update orders.

The following image illustrates the order update section of the Orders|Order Update page that appears after the General Order Update query is selected:

Selecting the General Order Update query will enable the following properties on the Orders|Order Update page:

Field Description
Created on Enables you to filter the search based on those orders created within the specified date range.
Enter a date or relative date into the field or click or to select the date or relative date.

Series Name Enables you to filter the search based on the name of the series associated to a performance on the order.
To add additional fields, click or press CTRL+TAB once you have made an entry.
Delivery Method Enables you to filter the search based on the delivery method associated to the order.
To select more than one delivery method, hold CTRL or SHIFT while making your selections.
Price Type Enables you to filter the search based on the selected price types for one or more admissions on the order.
To select more than one price type, hold CTRL or SHIFT while making your selections.
Order Number Enables you to filter the search based on those orders with an order number within the specified range.
Pledge Date Enables you to filter the search based on those donations with a pledge date within the specified date range.
Enter a date or relative date into the field or click or to select the date or relative date.

Campaign Name Enables you to filter the search based on the campaign to which a donation on the order is allocated.
To add additional fields, click or press CTRL+TAB once you have made an entry.
Appeal Name Enables you to filter the search based on the appeal to which a donation on the order is allocated.
To add additional fields, click or press CTRL+TAB once you have made an entry.
Program Name Enables you to filter the search based on the program to which a donation on the order is allocated.
To add additional fields, click or press CTRL+TAB once you have made an entry.
Fund name Enables you to filter the search based on the fund to which a donation on the order is allocated.
To add additional fields, click or press CTRL+TAB once you have made an entry.
Gift Fund Amount Enables you to filter the search based on those donations with an amount allocated within the specified range to any fund.
Pledge Amount Enables you to filter the search based on the amount donated.
Renewal Date Enables you to filter the search based on those donations with a renewal date within the specified date range.
Enter a date or relative date into the field or click or to select the date or relative date.

Renewal Amount Enables you to filter the search based on those orders with a renewal value within the specified range.
Performance Enables you to filter the search based on the performance code included in the order.
Enter the name of the performance or click to search for the bundle(s). For more information, refer to The Find Performances Dialog Box.
Bundle ID Enables you to filter the search based on the selected bundle included in the order.
Enter the name of the bundle or click to search for the bundle(s). For more information, refer to The Find Bundles Dialog Box.
Page Size Enables you to specify the number of records to display per page returned in the results.
Search Type Enables you to choose the appropriate type of matches you are expecting:
  • Match Any: When you want to search for records containing one or more of the search terms you selected.
  • Match All: When you want to search for records that contain all of the search terms you selected.

Select Orders Section

The following image illustrates the select orders section of the Orders|Order Update page:

The select orders section of the Orders|Order Update page contains the following properties:

Field Description
Order Type Select the option from the dropdown list as required:
  • Renewal: Initial state of order for renewing before customer has accepted being renewed.
  • Standard: Set the order(s) to a standard order type.
Selected Delivery Method Select the desired delivery method to be used for all orders being updated.
Balance Due Date Enter the date required for an expected payment against any balance or click to select a date.

Deposit Due Date Enter the date required for an expected deposit or click to select a date.
For more information, refer to Using the Calendar to Select a Date.
Deposit Amount Enter the amount expected for the deposit.
Comments/Announcements Add any additional comments or announcements desired.

Update Donation Section

This section includes the following properties:

Field Description
Update with Appeal Select the new appeal to which the donation is used against, by clicking to select an appeal. For more information, refer to The Find Appeals dialog Box.
Pledge Date Enter the new pledge date or click or to select a date.
For more information, refer to Using the Calendar to Select a Date and Using Relative Dates and Times.
Type Select either Lapsed, New or Renewal from the dropdown list.
Pledge Amount Enter the desired pledge amount.
Solicitor Enter the name of the employee who solicited the donations.
Default Receipt Template Select the desired template from the dropdown list to be used for receipts.
Default Receipt Thank You Letter Select the desired template from the dropdown list to be used for thank you letters.
Renewal Date Enter the new renewal date or click or to select a date.

Renewal Amount Enter the desired renewal amount. Select the % increase check box if the amount is to be increased as a percentage.
Additional Information Add any additional donation details.

Donation Order Update Page

The Orders|Order Update page for donations contains the following properties:

Field Description
Appeal Name Enter the name of the appeal to which the donation will be applied or click to select an appeal.
Pledge amount Enter the total amount the donor intends to give the organization with this donation.
Pledge date Enter the date the pledge is made or click to select a date.

Fund Name Select the fund to which the donation is to be applied.
Default Receipt Template Select the template that you want to use to generate tax receipts for available receiptable amounts.
Default Receipt Thank You Letter Select the thank you letter template to accompany a tax receipt.
