Creating a Promotional Code

You can create a new promotional code by entering the basic type, payment gateway, and ticket template information into the Promotional Codes|Details page. Once created, you can associate the promotional code to delivery methods just like all other payment methods. For more information, refer to Product Configuration Promotional Code-Details Page.

To create a new promotional code, complete the following:

  1. Open the Product Configuration application from the AudienceView Desktop.
  2. Click on the Promotional Codes tab.
    The Promotional Codes|Search page appears.
  3. Click 'Create New'.
    The Promotional Codes|Details page appears.
  4. Enter the details of the promotional code into the promotional code details group box. Enter the following information:
    • Promotional Code: The name you want to give the promotional code. (e.g. OnlinePromo).
    • Promotional Code Description: A description for the promotional code. This is not published to the end user (e.g. Promotion for Online Sales).
    • Promotional Code Short Description: A short description for the promotional code. This is not published to the end user and could be used to store an internal code describing the promotional code (e.g. PROMO0001).
    • Promotional Code Access Code: The name of the access code that will be associated with the promotional code (e.g. OnlinePromo_1). If there is an access code associated with the promotional code then the the access code must be entered on the order to expose the associated promotion (e.g. an online user would enter a promotional code to activate it).
      Caution
      'Promotional Code Access Codes' must be unique across all promotional codes.
      Hint
      It is possible to create promotional codes that use multiple single-use access codes, allowing you better track the use of promotional codes through Business Intelligence. To create a single-use promotional code, complete this process, and then refer to Adding Single-Use Access Codes to a Promotional Code.
    • Article: Links an article to the promotional code. When a customer enters a promotional access code online, a link to the article will appear below it. The article can be configured to display the benefits that the promotional access code grants the customer.
      Enter the name of the article or click to search for the article. For more information, refer to The Find Articles Dialog box.

      This field is only applicable if a 'Promotional Code Access Code' is entered.
    • Starting Date: The date that the promotional code became/becomes valid. If you do not enter a date, the application will use the current date.
      Enter a date into the field or click to select the date.

    • Ending Date: The date that the promotional code expires/expired.
      Enter a date into the field or click to select the date.

      Use caution when assigning an end date. Once the date has passed, the promotional code cannot be used again. This can also prevent updating or copying a price chart if, for example, the promotional code assigned to a price chart expires before the price chart does.
    • Min. Seats: The minimum number of seats that can be purchased using the promotional code.
    • Max. Seats: The maximum number of seats that can be purchased using the promotional code.
    • Increment: The increments of tickets that can be purchased with the promotional code (e.g. if the promotional code is for a 2 for 1 sale then the 'Increment' field would be set to 2).
    • Max. Admissions Per Customer: The maximum number of tickets which each customer can purchase or possess.
    • Delivery Method: The delivery method used with the promotional code.
      To select more than one delivery method, hold CTRL or SHIFT while making your selections.
    • Payment Method: The payment method used with the promotional code.
      To select more than one payment method, hold CTRL or SHIFT while making your selections.
  5. If you want to use the stored data values against your promotional code and use BI to retrieve information against them, enter the appropriate information in the data fields in the promotional code data field:
    • Data 1-8: Text fields
    • Multidata 1-2: Multiple data entry fields
  6. Click 'Create'.
    A window confirms that the application created the promotional code.
  7. Click 'OK'.
