Modifying a Donation Opportunity Forecast

Donation opportunity forecasts can be set against a customer account.

To modify an existing donation opportunity or forecast, complete the following:

  1. Open the Customer Services application from the AudienceView Desktop.
    The Customers|Search page appears.
  2. Search for and select the customer that you want to apply a donation forecast to. For more information, refer to the Customer Services - Customer|Search Page and Performing Searches.
    The Customer|Basic page appears.
  3. Select the Opportunities tab.
    The Customer|Opportunities page appears.
  4. Alter the applicable fields:
    1. Enter the name of the fund that you want to apply the opportunity to in the 'Fund' field or click to search for the fund.

    2. Enter the name of the appeal that you want to apply the opportunity to in the 'Appeals' field or click to search for the appeal.
      For more information, refer to The Find Appeals Dialog Box.
    3. Enter the customer number of the person who will be actively soliciting the donation in the 'Solicitor Customer' field or click to search for the customer number.

    4. Enter the customer number of the staff member who will be handling the solicited donation within AudienceView in the 'Staff Customer' field or click to search for the customer number.

    5. Enter a categorization for the opportunity in the 'Type' field.
    6. Indicate the level of confidence, as a percentage (without the % symbol), that you have in the customer opportunity becoming a donation in the 'Confidence' field.
    7. Enter any relevant information pertaining to the opportunity in the 'Details' field.
    8. Select a relationship between the opportunity and the customer who is being solicited for the donation from the 'Association' dropdown, so that customers can more accurately be targeted for marketing purposes.

    9. Enter the date that you expect the donation to be asked for ('Ask Amount'), the date the donation was promised ('Expected Date') and/or the date that the donation was received ('Projected Date') in the 'Date' field or select a date by clicking .

    10. Enter the monetary value that you anticipate the customer will donate in the 'Plan Amount' field.
    11. Enter the monetary value that you will be asking the customer to donate in the 'Ask Amount' field.
    12. Enter the monetary value that you have been promised by the customer in the 'Expected Amount' field.
    13. Enter the monetary value that you have received from the customer in the 'Projected Amount' field.
  5. Optionally, you can distribute the donation opportunity forecast over the course of a number of months.
    To distribute a forecast:
    1. Click 'Monthly Distribution'.
      The Monthly Distribution window appears.
      If forecasts have already been set against the customer account, all of the completed fields will be populated with the total values that appear in the blue header row.
    2. Enter the total monetary amount that you want to anticipate the customer will donate over the course of the defined months in the 'Plan Amount' field.
    3. Enter the total monetary amount that you will be asking the customer to donate 'Ask Amount' field.
    4. Enter the total monetary amount that you have been promised by the customer in the 'Expected Amount' field.
    5. Enter the total monetary value that you have received from the customer in the 'Projected Amount' field.
    6. Enter the date that you want to start the monthly forecast distribution from in the 'Date' field or click to select a date.

    7. Enter the number of months that you want to distribute the 'Total Goal Amount', 'Total Goal Count' and 'Total Goal Expenses' across in the 'Over How Many Months' field.
      Caution
      If forecasts have already been set, on the forecasts section of the page, the information entered in the Monthly Distribution window will overwrite them.
    8. Click 'OK'.
      If the 'Plan Amount', 'Ask Amount' and 'Expected Amount' and/or 'Projected Amount' cannot be evenly divided by the number of months that the goal is distributed across, the remainder will be added to the last month.
  6. Click 'Apply'
    A window confirms that the application updated the customer.
  7. Click 'OK'.
