Offer Status Report

The Offer Status report provides a snapshot of the total offers and metrics relating to the success of these offers.

Use this report to see what percentage of offers are accepted, declined, open or closed. This report also displays the current state of offers compared to both projected and potential numbers based on the offer expiration date. Break down each offer to view details based on performance admissions, bundles, donations or miscellaneous items.

Offer Status Report Criteria

The following table describes this report’s criteria:

Criteria Description
Offer Name Enables you to filter the report by the name of the offer. Click to add additional fields.
Performance Code Enables you to filter the report by performance codes(s). Click add additional fields.
Bundle Name Enables you to filter the report by bundle names(s). Click add additional fields.
Gift Name Enables you to filter the report by gift name(s). Click add additional fields.
Miscellaneous Item Enables you to filter the report by miscellaneous item(s). Click add additional fields.
Sales Date Format Enables you to filter the report by the sales date format:
  • Date Range
  • Previous 7 Days - This does not include today.
  • Today
  • Yesterday

    This is the date that the item on the order was sold, modified or deleted.
Sales From If you are entering a date range, this is the date from which data will be included in the report. This field is enabled for you to enter the time (hh:mm:ss). If you do not enter the time, 00:00:00 is assumed. If you want to the include data from the entire day of the date you select, set the time to 00:00:00.
Any value entered into this field will only apply if Date Range is used.
Enter a date or relative date into the field or click or to select the date or relative date.

The calendar dialog is only enabled to allow you to select the hour and minutes. Once you apply the time selection, you should modify the time to reflect the seconds.
Sales To If you are entering a date range, this is the date to which data will be included in the report. This field is enabled for you to enter the time (hh:mm:ss). If you do not enter the time, 00:00:00 is assumed. If you want to the include data from the entire day of the date you select, set the time to 23:59:59.
Any value entered into this field will only apply if Date Range is used.

Display Values Enables you to filter the report by the values that you want to display:
  • Paid: Tickets that have been paid for.
  • Sold: Tickets that are on an order, but have not been paid for (e.g. the customer will pay for the ticket when he/she picks it up at will call).
Display Sections Enables you to filter the report by the offer components that you want to display:
  • Offers: Displays the entire offer.
  • Performances: Displays the performances within the offers.
  • Bundles: Displays the bundles with the offers.
  • Donations: Displays the donations within the offers.
  • Miscellaneous Items: Displays the miscellaneous items within the offers.

    To select more than one offer component hold the SHIFT or CTRL buttons while making your selection.

The Offer Status report outputs the following for each of the display sections that you selected:

Field Description
Current Status  
Total Displays the total number of offers, performances, bundles, donations and miscellaneous items, depending on which display sections you selected.
% complete Displays the percentage of the total number of offers that have been closed, declined or accepted.
Declined Displays the total number of offers that have been declined.
Closed Displays the total number of offers that have been closed.
Open Displays the total number of offers that are currently available to customers.
Accepted Displays the total number of offers that have been accepted.
Amount Displays the total price of the accepted offers.
% Accepted Displays the percentage of offers that have been accepted.
Projected Sold  
Accepted Displays the average number of offers that will most likely be accepted by the customer based on the customer's previous history.
Amount Displays the average price of the offers that will most likely be accepted by the customer based on the customer's previous history.
% Accepted Displays the average percentage of the total number of offers that the customer would have accepted based on the customer's previous history.
Potential Sold  
Accepted Displays the maximum number of offers that can still be accepted by the customer. (The total number of accepted offers and the remaining open offers).
Amount Displays the maximum price of the offers that can still be accepted by the customer.
% Accepted Displays the maximum percentage of offers that can still be accepted by the customer.
