Performance Settlement Report

The Performance Settlement report displays the current ticket sales, performance service charges, and taxes for one or more performances by price type and price zone. This report also details unsold tickets and their projected value.

Only those performance service charges charged against the price chart’s model are included in this report.

Projected values are calculated based on the value of tickets/inventory already sold and the remaining available seats. Projected values are calculated using the highest price from the performance’s default pricing model. If there is no default price model, the 'Projected Value' will be calculated as the total 'Paid' plus the total 'Unpaid'. If the pricing from the price chart includes taxes, then taxes are included in this report's projected values.

You can use this report to give you an overview of sales figures, charges, and taxes enabling you to reconcile one or more performances.

Performance Settlement Report Criteria

The following table describes this report’s criteria:

Criteria Description
Venue Enables you to filter the report by one or more venue selections.
To select more than one venue, hold CTRL or SHIFT while making your selections.
Series Specifies one or more series to include in the report.
Enter the series name and press ENTER or click  to search for the series. For more information, refer to The Find Series Dialog Box.
Performance Code Specifies one or more performances to include in the report.
Enter the performance code and press ENTER or  click to search for the performance. For more information, refer to The Find Performances Dialog Box.
Segment Display Enables you to filter the report by one or more segment:
  • Sold Admissions
  • Unsold Admissions
  • Charges
  • Payments
  • Credit Card Fees
  • Gross Less Deductions
  • Adjustments

    To select more than one segment to display, hold CTRL or SHIFT while making your selections.
Report Output By Enables you to display totals by:
  • Price Type
  • User Role
  • User Role Group
Display Values Enables you to specify what values to display:
  • Net Paid
  • Net Paid and Total Paid
  • Net Sold and Total Sold: Displays both net values (excluding taxes and service charges) and total values (including taxes and totals). When selecting this option, the report includes separate columns for taxes and service charges.
  • Net Sold: Displays net values only (excluding taxes and service charges).
Display Charge Types Enables you to filter by the selected display charge types:
  • Commission
  • Service Charge
  • Tax

    If you select only one charge type, only that charge type will appear on the report. To select more than one option, hold CTRL or SHIFT while making your selections.

    If you select any of these options, the Charges section will appear on the report regardless if you did not select Charges from the 'Segment Display Field'.

    Information
    Two other options, User Tax1 and User Tax2, are available. By default they are disabled in the General Configuration application List|Entries page for the Service Charge Types list. To configure these options, they must first be enabled. For information on configuring taxes and charges, refer to Product Configuration Charges.

Advanced Section

The following criteria is available in the advanced section:

Criteria Description
Performances From Enables you to filter for those performances that occur on or after the date entered.
The application will ignore your entry if you do not enter a value for a 'Performances To' date.
Enter a date or relative date into the field or click  or  to select the date or relative date.

Performances To Enables you to filter for those performances that occur on or before the date entered.
The application will ignore your entry if you do not enter a value for 'Performances From' date.
Enter a date or relative date into the field or click  or  to select the date or relative date.

User Role Enables you to filter by the selected user roles.
This is the user who last updated the order.
To select more than one user role, hold CTRL or SHIFT while making your selections.
User Role Group Enables you to filter by the selected user role groups.
This is the user who last updated the order.
To select more than one user role group, hold CTRL or SHIFT while making your selections.
Only Show Performances Without a Producer Enables you to filter the report so that only performances that do not have a producer are displayed.
Producer Enables you to filter by the selected producers.
The report will return data related to the current producer of the performance(s).
To select more than one producer, hold CTRL or SHIFT while making your selections.

The options selected under the settlement options section are displayed in the Gross Less Deductions section and summed up under ‘Total Deductions’.  This value is subtracted from Total Ticket Sales to give the Net Payable. 

Settlement Options Section

The following criteria is available in the settlement options section:

Charge Deduction Options Enables you to filter the report by the following settlement deduction options:
  • Commission
  • Service Charges
  • Taxes

    To select more than one option, hold CTRL or SHIFT while making your selections.

    Information
    Two other options, User Tax1 and User Tax2, are available. By default they are disabled in the General Configuration application List|Entries page for the Service Charge Types list. Settlement Deduction Options Enables you to filter the report by the following settlement deduction options:
  • Credit Card Fees
  • Adjustments: Adjustments are based on any applicable performance fees that were set in the General Configuration application Producers|Fees page.

    To select more than one option, hold CTRL or SHIFT while making your selections.

The following table describes the report’s output:

Column Description
Sold Admissions The number of sold admissions and the net value of those admissions by price type.
Unsold Admissions The number of unsold admissions and the projected value of those admissions. Projected values are calculated using the highest price from the performance’s default pricing model. If there is no default price model, the 'Projected Value' will be calculated as the total 'Paid' plus the total 'Unpaid'. If the pricing from the price chart includes taxes, then taxes are included in this report's projected values.
Service Charges The number performance service charges sold and the value of those service charges.
Only those performance service charges charged against the price chart’s model are included in this report.
Taxes The taxes charged against the sold admissions.
Payments The payments that have been made.
Credit Card Fees The payments and any associated addtional fees.
Gross Less Deductions The gross total minus any fees.
